Privacy Policy

Chalkbell is a school management system with school websites and parent apps. It is a product of Vividsoft Tech Solution, Jodhpur, India ("Chalkbell", "we"). This policy explains what information we handle and why.
Two different roles
- Information schools put into Chalkbell. Each school decides what it records about its students, families and staff, and is responsible for that information. We store and process it for the school, on its instructions. To see, correct or delete this information, contact your school first; we help the school carry out the request.
- Information about our own website and customers. For chalkbell.com enquiries and the people who buy Chalkbell for a school, we decide how the information is used and are responsible for it.
Information we handle
When you enquire on chalkbell.com: your name, phone number, school name and any optional details you give (city, student numbers, the package you are interested in, your message), and the page or link that referred you.
When a school uses Chalkbell, depending on the features it turns on:
- student, guardian and staff details such as names, contact details, class, identity documents and photos;
- attendance (including from RFID card readers), homework, marks, fees and payment records, certificates, and messages and notices;
- login details and the settings you choose, such as notification preferences.
In the mobile app: a device token so we can send phone notifications, and basic device information. If a driver runs a trip in the app, the phone's location, including in the background during the trip, is used to show the bus on a map to the school and to families of children on that bus.
Automatically: technical logs such as IP address, browser type and the time of a request, which we use to run and secure the service.
How we use it
- to provide Chalkbell to schools and their families, including support;
- to reply to enquiries and to call or message people who asked us to;
- to send service messages, such as notices, absence alerts, homework and fee reminders, on the channels the school has switched on;
- to bill schools, keep the service secure, prevent misuse and meet legal duties.
We do not sell personal information, and we do not use information schools hold in Chalkbell for advertising.
Children's information
Most student information concerns children. It is collected by the school, which is responsible for obtaining any parent or guardian consent the law requires. We do not track children for advertising or send them targeted advertising. Parents see only their own children, and teachers and staff see what the school has allowed.
Who we share it with
We share information only as needed to run the service, with:
- the school that the information belongs to, and the people it gives access to;
- Amazon Web Services, for hosting, database and file storage, in India (Mumbai);
- Google, for phone notifications (Firebase Cloud Messaging), maps and the fonts on this website;
- Razorpay, for online payments. Card and UPI details are entered with Razorpay and do not reach us;
- messaging providers, such as WhatsApp (Meta) and SMS companies, where a school uses those channels;
- authorised sales partners, where one is helping a school that enquired;
- government or legal authorities, where the law requires it.
Some of these companies may process information outside India, under their own safeguards.
Cookies and tracking
chalkbell.com does not use advertising or analytics trackers. Loading the site's fonts sends your IP address to Google. Signing in to Chalkbell stores what is needed on your device to keep you signed in.
How long we keep it
We keep school information for as long as the school uses Chalkbell, then return or delete it on the school's request, except what we must keep by law, such as billing records. We keep enquiries for as long as they are useful for following up, and you can ask us to delete yours at any time. Backups are overwritten on a rolling basis.
Security
We use encrypted connections, private storage, access controls so each school sees only its own data, and regular backups. No system is perfectly secure; if a breach affects you, we will notify the school and the authorities as the law requires.
Your rights
Under India's data protection law you may ask to access, correct or erase your personal information, withdraw consent, and raise a grievance. For information held by a school, contact the school first. For anything else, write to us. You can change notification preferences in the app.
Changes
We may update this policy and will change the date above. If a change is significant, we will tell schools directly.
