Every school ERP demo looks good. These are the questions that separate the one your office will still be using next year from the one it quietly stops opening.

The best school ERP for an Indian school is the one that gets the fee ledger right, fills the attendance register without extra work, has a parent app parents keep using, and can take your existing data from Excel. Before you buy, ask the vendor to show concessions and late fines on your own fee chart, attendance from the readers you already own, a parent app in your school's name, a bulk import with row-by-row errors, and, if they say "AI-powered", exactly which task the AI does and whether a person approves it before it is saved.
| Ask the vendor | Why it matters | Chalkbell's answer |
|---|---|---|
| Show sibling concession and a late fine on our fee chart | Fee maths is where most ERPs fail at the counter | Named concessions and automatic fines per instalment |
| Mark attendance from our existing readers | Replacing hardware adds cost and delay | Works with readers you own, including older models |
| Whose name is on the parent app? | Parents trust and open the school's own app | Published in your school's name and logo |
| Where does online fee money go? | Money held by a vendor is a risk | Straight into the school's own Razorpay account |
| Import our Excel sheets now | Re-typing data delays go-live by weeks | Bulk import with a check on every row |
| What exactly does the AI do? | "AI-powered" often means nothing specific | Drafts report card remarks; builds timetables from written rules; staff approve |
Bring your real fee chart to the demo. If concessions, instalments and fines cannot be shown on it, the office will be back on Excel by July.
If you own RFID or biometric readers, ask the vendor to connect one. "We supply our own readers" means buying again.
Install it. Does it show attendance, fees and results without hunting? Is it in your school's name?
Online fees should settle into the school's own payment account, with receipts generated automatically.
Ask which task the AI does, what data it sees, and whether staff approve before anything is saved. Vague answers are a warning sign.
Ask how your students, staff and balances come across, and how long it takes. A term boundary is the easiest time to move.
There is no single best ERP for every school. The right one handles your fee structure correctly, works with your attendance hardware, gives parents an app they keep using, imports your existing data, and fits your budget. Shortlist two or three and test each on your own fee chart and student lists.
At minimum: admissions, student records, attendance, fee collection with concessions and receipts, exams and report cards, timetable, parent communication through an app, and reports. Transport, HR and payroll, library and hostel modules matter for larger schools.
It should name specific tasks. In Chalkbell, AI drafts class-teacher report card remarks from each student's marks and attendance, and turns timetable rules written in plain words into a clash-free timetable. Staff review and approve both before anything is saved.
With data in Excel, a school can usually be set up in days rather than months. Switching at a term boundary keeps fee balances and attendance clean.
It helps. Parents are more likely to install and keep an app that carries their school's name and logo than a generic vendor app.
Every module writes to the same student record, so nothing is typed twice.
Chalkbell puts AI into the two jobs that eat the most staff time at term end and session start: writing report card remarks and building the timetable. AI drafts, a teacher decides.
Set the fee once per class. Chalkbell works out every student's dues, with their concessions, instalments and late fines, and keeps one ledger the office and the accountant both trust.
Students tap their card at the gate. Chalkbell marks them present or late against your school's cutoff time, and the class register is filled in before the teacher reaches the room.
